Improving Business Intelligence using Penelope's New Target/ Actuals Module [July 1, 2011]

One of the key challenges facing Program Directors, CEOs, Managers and Executive Directors is how to accurately monitor progress against targets in a timely manner. Often, these targets can be quite obscure and include breakdowns of multiple variables, such as clients seen by gender, city and age or service events by staff member or revenue by program by site. The need to report on and be held accountable for performance against targets can be driven internally or by third parties such as funding sources or accrediting bodies. Whatever the reason or motivation, the ability to set targets or goals and to monitor progress against these goals is a powerful business intelligence resource for any organization.

 

We're pleased to introduce a comprehensive, powerful new module that will allow you to not only create a complex matrix of service or revenue targets by a host of user-configurable variables, but you can also track performance against the targets in real time (or even contrast the 'actuals' year over year). What's more, even if you don't formally set targets, you can still take advantage of a whole new reporting framework using the 'actuals' report options. There are 6 essential performance indicator elements you may use as the base units for your targetting:

- Service Units (Cart Items) provided
- Service Events (Appointments) provided
- Service Event Duration
- Invoiced Revenue
- New or Unique Clients served by their service involvement
- New or Unique clients served by the Organization

 

Each of these indicators can be measured in a variety of ways (eg. by worker, by client, by presenting client etc.) and then, importantly, the results can be"broken down" by practically any other data point in Penelope and then broken down again (and again and again....). So if, for example, one of your funders requires that a given service/ program sees 1500 unique clients each year and that of these, 1000 must be low income females, you can now easily track the target and actuals of this requirement. This new reporting framework also allows you to perform some core statistical analyses by including the available standard deviation, median, min/ max, percentage and variance options.
